    Business Services Assistant

    Position Details

    Key Responsibilities:

    • Manage and maintain accurate and up-to-date documentation related to Business Services processes, including standard operating procedures (SOPs), standard templates, and onboarding materials.
    • Assist with the execution of finance & legal tasks related to Business Services activities, such as expense reports, contract review, and regulatory compliance
    • Provide efficient administrative support, including scheduling meetings, managing calendars, call support, and handling travel arrangements
    • Identify and implement opportunities with manager to improve Business Services operational efficiency through process optimization and automation
    • Provides administrative support to ensure efficient office operations.
    • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
    • Writing And Issuing Emails/slack team members and departments on behalf of the company or senior staff
    • Finding a way to improve administrative processes.
    • Assisting all the Business Services department activities.
    • Identify and fill important gaps across the business.
    • Learning skills and roles needed for our business activities
    • Be able to create report/documentation for senior management
    • Financial records (Weekly / monthly)
    • Maintain or improve Financial/accounting to better processes
    • Be able to create financial reports
    • Be able to contact/negotiate with external and government officers such as Immigration/ The Revenue Department/ District or Company Lawyer.


    Skills & Qualifications:

    To excel in this role, you should have:

    • Educated to Degree level or equivalent. Graduating in Business Management/ Administration or Accounting field would be an advantage.
    • Strong organizational and time management skills with the ability to prioritize multiple tasks effectively
    • Some knowledge of various project management methodologies (e.g., agile/scrum)
    • Proficient in; PM software tools such as Slack, Trello, Excel, and Word.
    • Excellent communication, interpersonal and negotiation skills
    • Problem-solving skills
    • Capacity to manage high-stress situations
    • Ability to multi-task and manage various project elements simultaneously
    • Proven leadership skills
    • Big-picture thinking and vision
    • Exceptional attention to detail and accuracy in work.
    • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
    • Positive attitude and team player
    • Fluent in English ( Business level: Written/ Speaking and Listening)
