About the role
As an Entry-Level Executive Secretary to GM, you will play a crucial role in maintaining the efficient operation of the office. Your primary responsibilities will include greeting visitors, handling correspondence, and assisting in meeting coordination. This position offers the opportunity to work closely with the General Manager and other key stakeholders in the organization.
Responsibilities
- Greet persons entering the office, determine nature and purpose of visit, and direct/escort to destination
- Open, read, and prepare answers to routine letters
- Locate and attach appropriate files to incoming correspondence requiring replies
- Take and distribute meeting minutes to appropriate individuals
- Handle and distribute incoming and outgoing mail
- Follow all company policies and procedures
- Ensure uniform and personal appearance are clean and professional
- Maintain confidentiality of proprietary information
- Protect company assets
- Develop and maintain positive working relationships with others
- Support team to reach common goals
- Listen and respond appropriately to the concerns of other employees
Qualifications
- High school diploma or equivalent
- Prior experience in office administration or related field is a plus
- Strong communication and interpersonal skills
- Excellent organizational abilities
- Proficiency in Microsoft Office Suite
- Ability to multitask and prioritize tasks effectively
